What information do we hold;
As an Accountancy practice we hold information solely for the purpose of meeting our contract requirements. It is necessary to retain individual information to identify yourself as an individual and company specific information. We restrict the collation of information solely to that required to fulfil our commitment to you.
How information about you will be used;
All personal information held is used solely for meeting our obligations as agreed by contract. We gather your personal data through provision of your identification as a necessary requirement to enable our service to be delivered.
Who we share information with and why
At AJ Accountancy we do not share information with external companies outside of those necessary to meet our obligations to you. In circumstances where information is shared outside of organisations mandatory to providing our services we will endeavour to obtain your express consent to do so. The recipients of your data are restricted to;
- HMRC
- Companies House
- Creditsafe (to perform our Anti-money laundering requirements as stipulated by AML regulations)
- Pensions providers for those clients who have expressly requested our involvement with the input of automatic enrolment information.
What rights you have;
1 – Right to be informed – You have a right to be advised of the purpose of the processing of your information. AJT Accountants Limited process your information to enable the performance of the services detailed in your agreed contract.
2 – Right of access – You have a right to request a copy of your personal data. If you would like access to a copy of this information, please email julia@aj-accountancy.co.uk or write to the above address.
3 – Right to rectification – If you identify any mistakes in information held, you have a right for this to be rectified.
4 – Right to erasure – You have a right to request information is deleted when you believe this information is no longer necessary in relation to the purpose for which it was originally collected.
5 – Right to restrict processing –you have the right to request we do not use your data in a certain way.
6 – Right to data portability – In some cases you can ask to receive a copy of your data in a commonly used electronic format so that it can be given to someone else
7 – Right to object – The right to make a complaint about any aspect of our use of your data
8 – Rights related to automated decision making including profiling
How long we keep hold of information for
We retain information for as long as it is needed which may be based on a legal requirement or accepted business practice. We are required to retain records for a period of six years from the end of business relationship.
